Position Summary

We are seeking a detail-oriented, resourceful, and proactive Translation Project Coordinator to join MAPA Translations, Inc.

This role involved collaborating on project management, client communication, and operational coordination to ensure timely and high-quality delivery of translation and language services.

You will support the Senior Project Manager, manage multiple vendors, and coordinate a wide range of client projects. You will develop deliverables, such as a knowledge hub of processes, workflows, and playbooks that will strengthen our project management operations and support MAPA’s continued growth.

Objectives

  • Support the project management team in processing service requests and coordinating vendor resources.
  • Ensure translation projects are delivered on time and with the highest quality by maintaining clear and professional communication with clients, linguists, and vendors.
  • Assist with the development and maintenance of user guides, SOPs, workflows, and playbooks to strengthen project management operations.
  • Coordinate a high volume of projects across multiple service pipelines while balancing deadlines, priorities, and quality.
  • Oversee vendor assignments for translators, proofreaders, and DTP specialists to ensure smooth project execution.
  • Utilize translation industry tools, CRM platforms, and AI technology to manage projects efficiently and enhance quality control.
  • Prepare editable and non-editable documents for translation, including templates, file conversions, and word count calculations.

Competencies

  • Strong written and verbal communication skills with the ability to respond professionally to clients and vendors.
  • Proven project management skills with the ability to balance multiple deadlines and priorities.
  • High proficiency with Microsoft Office 365 (Word, Excel, PowerPoint, Outlook).
  • Expertise in Desktop Publishing (DTP) and formatting complex documents.
  • Ability to quickly learn and adapt to project management and CRM tools such as ClickUp or HubSpot.
  • Knowledge and application of AI tools (ChatGPT, Microsoft Copilot) for project efficiency.
  • Highly organized, detail-oriented, and capable of working independently in a remote team environment.
  • Comfortable coordinating with international teams across time zones.

Education/Experience

  • Bachelor’s degree preferred or equivalent industry experience.
  • Proven experience managing translation or language service projects (preferred).
  • Proficiency in Microsoft Excel (advanced functions, PivotTables, conditional formatting).
  • Demonstrated ability to prepare structured documents with advanced Word features (TOCs, complex formatting, structured references).
  • Prior experience with project management or CRM software strongly preferred.
  • Experience in the language services industry is a plus.

Physical Requirements

  • Ability to work remotely with reliable internet and access to communication tools.
  • Ability to engage in extended screen time for project coordination, reporting, and communication.

Salary Range

$8.00 - $12.00 / hour

Fully Remote

Schedule: 8AM - 5PM EST
