Localization Project Coordinator

We are looking for a highly organized and detail-oriented Project Coordinator to join our team in the translation and localization industry. The ideal candidate will oversee end-to-end project workflows, coordinate with internal and external stakeholders, and ensure the timely and budget-conscious delivery of high-quality work. Proficiency in Smartcat is essential, along with a strong understanding of translation tools and desktop publishing software.

Responsibilities:

Client Consultation & Solution Development

• Act as a trusted advisor to clients, helping them identify their real needs rather than simply fulfilling requests.

• Educate clients on translation best practices, including language variants, localization nuances, AI-enhanced workflows, and multimedia translation.

• Think beyond the request—if a client asks for something that won’t serve them well, confidently guide them toward a better, more efficient solution.

• Manage client expectations, including timelines, costs, and scope changes, while ensuring a smooth, collaborative experience.

• Develop long-term relationships with key clients by anticipating their future needs and providing proactive solutions.

Project Coordination, Administrative Responsibilities, and Optimization

• Prepare and deliver accurate, strategic quotes, ensuring pricing aligns with both client needs and business profitability.

• Set up approved projects in Smartcat, assign the right resources, and ensure projects run efficiently from start to finish.

• Provide clear, concise project instructions to the Project Management team to ensure seamless execution.

• Monitor project progress while collaborating with project managers and linguists to ensure quality standards are upheld and deadlines are met.

• Assist with project- or team-level administrative tasks as needed, such as invoicing clients and preparing reports.

Adaptability & Process Improvement

• Stay ahead of industry changes by learning and applying the latest AI and translation technologies—not as a replacement but as a tool to enhance workflows.

• Identify opportunities for process improvement to enhance efficiency and effectiveness.

• Quickly adapt to changing workflows, tools, and client needs to keep Global Arena at the forefront of innovative translation solutions.

• Share best practices and strategies to improve translation project management.

Client-Centric Service & Business Growth

• Go beyond basic project management—become a problem solver who helps clients streamline multilingual communication.

• Identify new service opportunities for clients, including localization, AI-assisted translation, multimedia solutions, and other tailored approaches.

Requisitos

Requirements:

• Client-facing experience in the translation industry or a related field, with a strong problem-solving mindset.

• Ability to challenge client assumptions and confidently guide them toward better solutions.

• Strong project coordination skills, including quoting, scheduling, and workflow management.

• Proficiency in Smartcat (experience with other translation tools is a plus but not required).

• A proven ability to quickly learn and adapt to new technologies in a changing industry.

• Ability to manage multiple projects, prioritize effectively, and perform well under pressure.

• Excellent written and verbal communication skills in English and Spanish (additional languages are a plus).

• Growth mindset, openness to feedback, and a passion for continuous learning.

Preferred Skills:

• Experience working with AI-enhanced translation tools and machine-assisted workflows.

• Background in localization, multimedia translation, or language quality assurance.

• Familiarity with translation needs in regulated industries (e.g., healthcare, legal, and e-learning).
